What is SecureOffice?
SecureOffice is your office on the internet. It offers secure storage space and secure mail services to work groups, small and middle-sized companies, and private persons. It can be used as an archive (backup) of valuable files of any kind, but also as a place where different people can store and retrieve files that they need on a regular basis.
Key to all SecureOffice services is security:- All access to the site is established over a high-grade encrypted connection (SSL, 256-bit)
- Passwords have to meet strict complexity rules to avoid passwords easily being generated.
- All uploaded files are being scanned for viruses before being stored on high-end servers, situated in secure data centres.
- Folders and files are only available to those users, who have the appropriate rights to them, while file versioning prevents files from being overwritten by other users.
- E-mail messages are scanned for viruses and spam. By using IMAP for mail retrieval, the user's mail is always kept on the server. If the user's PC crashes or gets lost, reconstruction is a matter of minutes.
- Daily 2-tier backups of all user data make data loss practically impossible.
Why SecureOffice
Small companies demand better IT-solutions
There are approximately one million small businesses with up to 9 employees in the UK. You'll find them in all kinds of industries. Common to them all is that they use IT in their daily work as much as larger companies - or at least they would like to. Some people say small businesses have other needs but in reality they can't afford to invest in firewalls, switches, email, virus filters and collaboration tools that larger companies use within their well-protected networks. It's simply too expensive and too complicated.

Services
Currently, the following services are available:
workspace
| Function | Explanation |
|---|---|
| Users and groups | Each user needs a user account to be able to create unlimited folders and subfolders, and upload and download files. Users can be assigned folders, where they can have read-only (Browser) rights or read&write (Author) rights on its files and subfolders.
By organising users in groups, it becomes easier to manage the rights of the users. You can create unlimited groups with unlimited number of members. |
| Storing files | Storage space is really unlimited. Anyone can store as much as they want. Files are uploaded using an uploader, written in Java. With this uploader, folders with their complete content can be uploaded at once. All file dates are kept as they are on your disk.
To download a file, one just clicks on the file name. It is also possible to download a group of files as a zipped archive. |
| Public folder | Used to "share" files with external users, who receive a login name and a password to get access to exactly that folder that was made public. Multiple public users can share the same public folder, and multiple public folders can be accessed by the same public user. Optionally, each public user can be allowed to upload to the public folder. |
| FTP upload | Used to receive incidental files, e.g. images from a motion-sensitive security camera. The uploaded file is moved to the workspace and placed in a special folder. |
| Backup | Used to store your daily or weekly backups. The back-upped files are received by FTP and moved to the workspace at a time of your own choice. |
safemail
| Function | Explanation |
|---|---|
| Receiving and keeping mail | Each registered user can get a mailbox, if the mail domain has been registered in SecureOffice. All mail is scanned for viruses and spam before it is stored. The size of the mailbox is unlimited.
To read the mail, users can either use our webmail, or create an account in their favourite e-mail program. The SecureOffice mail server supports both POP, as well as IMAP. |
| Sending mail | Anyone can use the SecureOffice SMTP server to send mail from their computer. By using this server, one does not have to change the outgoing server, when they have changed location, e.g. when they are at a client. Simply login to SecureOffice to notify the server, and mail can be sent. |
| Aliases | Each user can create unlimited aliases for their e-mail address, as long as the alias address is not used by another user. |
| Mail groups | Each user can create unlimited mail groups (aka mailing lists), as long as the mail group's address is not used by another user. |
| Out-of-office reply | When not able to read mail (e.g. when one is on holidays), one can configure an automatic reply when mail is received. |
| Forwarding | In case the user wishes to receive all his mail at another address, this address can be given here. |
